Privacy Policy
Effective Date: October 2024. Last updated: September 29, 2026.
Defense Grant Writers, a division of SBIR Grant Writers ("we," "us," or "our"), is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and disclose personal information when you visit our website defensegrantwriters.com (the "Site"), as well as your rights and choices regarding your personal data.
1. Information We Collect
We collect information that you provide directly to us when you visit our Site, subscribe to our newsletter, fill out contact forms, or otherwise interact with us. The types of personal information we may collect include:
- Personal Information: Name, email address, phone number, and any other information you provide.
- Usage Data: Information about your visit to the Site, including IP address, browser type, device type, pages viewed, time spent on pages, and referral links.
- Booking Information: When you book a consultation, you do so through Calendly (see Section 3). Calendly collects the name, email address and answers you enter, and shares them with us.
- Grant Alert Information: If you sign up for grant alerts on sbirgrantwriters.com, or agree to receive them when you book a consultation, we keep your email address, first name, company, the keywords and agencies you choose, and a record of which listings we have already sent you.
2. How We Use Your Information
We may use your personal information for the following purposes:
- To Provide Services: To respond to your inquiries, provide information about our services, and assist with your defense proposal writing needs.
- To Improve Our Site: To analyze usage patterns, improve the functionality of our Site, and enhance the user experience.
- Grant Alerts: With your consent, to email you a weekly list of SBIR/STTR opportunities that match the keywords and agencies you chose. We pick the listings by keyword matching. Each alert also includes a link to book a consultation.
- For Marketing: With your consent, to send you newsletters, marketing communications, and updates about our services. You may opt out at any time.
- Compliance and Protection: To comply with applicable laws, regulations, and legal processes, and to protect our rights and property.
3. Sharing of Information
We do not sell, trade, or rent your personal information to third parties. However, we may share your information with trusted third parties under the following circumstances:
- Service Providers: We may share your information with third-party service providers who assist us in operating our Site or conducting our business.
- Scheduling: Consultations are booked through Calendly, a third-party scheduling service. The booking buttons on our Site may fill in the name and number of the opportunity you were viewing, and the booking links carry tags showing which page and button you came from. Information you give Calendly is handled under Calendly's Privacy Notice (calendly.com/legal/privacy-notice), not this policy.
- Email: We send grant alerts through Mailchimp, a service of The Rocket Science Group LLC (part of Intuit) in the United States. Mailchimp stores the grant alert information described in Section 1 and records whether you open our emails and which links you click. If you answer yes to grant alerts when you book a consultation, we take your name, email address and the keywords you entered from Calendly and add them to Mailchimp, which then emails you to confirm. Mailchimp handles this information under the Intuit Global Privacy Statement (intuit.com/privacy/statement).
- Analytics: We use Google Analytics, provided by Google LLC, as described in Section 4.
- Legal Requirements: If required by law or in response to a legal request, such as a court order or government investigation.
4. Cookies, Analytics and Browser Storage
We may use cookies and similar tracking technologies to enhance your experience on our Site. Cookies are small files stored on your device that help us analyze web traffic, remember your preferences, and customize your experience. You can choose to disable cookies through your browser settings, but this may affect the functionality of our Site.
Google Analytics
We use Google Analytics 4 to understand how visitors use our Site. sbirgrantwriters.com and defensegrantwriters.com share one Google Analytics account. Google Analytics sets cookies on your device (named "_ga" and "_ga_" followed by an ID) that by default expire two years after your last visit. It records the pages you view, your approximate location, your device and browser, and the site that referred you. It also records actions on our Site: clicks on booking links (which part of the page, and the campaign tag on the link); use of our free tools, including calendar downloads from the dashboard and from the topic and notice pages; and use of the shortlist and keyword match on the dashboard (the number of an opportunity you add to your shortlist, and how many keywords you entered, not the keywords themselves). We do not send your name or email address to Google Analytics.
Your browser sends your IP address to Google when it loads Google Analytics, and Google uses it to estimate your general location. Google states that Google Analytics 4 does not log or store IP addresses. Google explains how it uses this information at How Google uses information from sites or apps that use our services.
To stop Google Analytics from collecting information about your visits, you can install the Google Analytics Opt-out Browser Add-on, or block or delete cookies in your browser settings.
Your Shortlist
If you save opportunities to a shortlist on the opportunity dashboard, the list is kept in your browser's local storage on your device. It is not sent to us. You can remove it with "Clear shortlist" or by clearing your browser's data for this Site. A shortlist share link contains only the numbers of the opportunities on the list.
5. Data Security
We take reasonable precautions to protect your personal information from unauthorized access, use, or disclosure. However, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.
6. Your Rights
Depending on your location, you may have the following rights regarding your personal data:
- Access: You have the right to request access to the personal data we hold about you.
- Correction: You can request correction of inaccurate or incomplete information.
- Deletion: You may request the deletion of your personal data, subject to certain legal exceptions.
- Opt-Out: You can opt out of receiving marketing communications by following the unsubscribe instructions provided in our emails.
7. Third-Party Links
Our Site may contain links to third-party websites or services. We are not responsible for the privacy practices or content of these third-party websites. We encourage you to review their privacy policies before providing any personal information.
8. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. The updated policy will be posted on our Site with the new effective date.
